Documents Required for Company Setup in Dubai: A Preparation Guide

There is no universal document pack for every Dubai company. Your legal form, authority, shareholders, and activity determine the final list. Preparing a clear starting pack makes it easier to identify what is missing.

Prepare a founder information sheet

Record each proposed shareholder’s legal name, nationality, contact details, ownership percentage, and proposed role. Make sure names match the identification documents. Put your proposed business names and a plain-language activity description on the same sheet.

Keep this separate from sensitive attachments so you can share an initial brief without sending identity documents to everyone providing a quote.

Identify the correct applicant category

An individual shareholder application differs from an application involving a company shareholder or a branch. Dubai’s official guidance lists identity and applicable residence information among the essential materials, and additional parent-company documents for relevant branch applications. The authority’s current checklist should determine what you submit.

For a corporate structure, ask which incorporation records, constitutional documents, resolutions, and signing authorities are needed. Do this before arranging attestations, since preparing the wrong document can add avoidable work.

Confirm format before paying for certification

  • Ask which documents must be originals or certified copies.
  • Confirm translation and attestation requirements for each foreign-issued document.
  • Check whether electronic signing or attendance is accepted for your application.
  • Check the required validity of identification and other time-sensitive documents.
  • Confirm who is authorised to sign for each shareholder.

Do not assume a document accepted by one free zone or bank will satisfy another authority.

Check consistency across the pack

Before submitting, compare names, company numbers, addresses, ownership percentages, and dates across all documents. Use a simple tracker with columns for “required”, “received”, “certification needed”, and “accepted”. Keep the authority’s request alongside the document version you submitted.

Ask how sensitive records will be transferred and who will receive them. The website’s initial WhatsApp enquiry only needs your business idea and planning requirements; identification documents should follow through an agreed secure process.

Keep formation and banking requests separate

Licensing and bank onboarding are separate reviews. Maintain clearly labelled folders so you can see which organisation requested each item. Do not treat a completed formation pack as confirmation that every later review is complete.
